The problem

Coaches, recruiters and sales reps all have the same gap in their week. The conversation is the work, and the write-up afterwards is what the client or the candidate actually receives. So the value sits in the notes, and the notes are the part nobody has time for.

Generic transcription tools do not solve it. They return a wall of text when what is needed is a client-ready summary with the action items pulled out and the professional's own branding on it. Turning a transcript into that document is still manual work, and it happens after every single call.

What we built

Upload a recording and get back a finished summary.

Any audio or video file goes in, up to two gigabytes and three hours, in the formats people actually record in. Out comes a transcript, a summary in the style that suits the use, and the action items extracted as their own list.

Teams share workspaces, manage members by role, and export summaries carrying their own branding rather than the tool's. The free tier watermarks exports; paid tiers do not.

Usage is measured in minutes rather than documents, with monthly allowances that pool across a team, so a busy week for one member does not block everyone else.

Architecture

Two AI models run in sequence. OpenAI Whisper handles transcription, and GPT-4o-mini produces the summaries and extracts action items from the transcript it receives. The pipeline is built to carry a three-hour recording through both stages without the user waiting on a page.

File handling sits in front of that: format detection, duration estimation and quality validation before processing starts, so a file that will fail is caught at upload rather than after the work has been done.

Workspaces are multi-tenant with role-based access, and branding is applied per workspace so exports leave the system looking like the professional who sent them rather than the tool that made them.

Usage metering tracks minutes consumed against each plan's allowance, pooled at team level for shared plans and enforced per file for the limits each tier carries.

The result

Three months from start to live.

The delivered platform covers the full path from an uploaded recording to a branded, client-ready document: transcription, summarisation, action item extraction, team workspaces with role-based access, and usage metering across three subscription tiers.
